Intuit has been pushing businesses toward QuickBooks Online for years — but is it actually the right move for you? Here's an honest breakdown from someone who's helped dozens of businesses make the switch.

QuickBooks Desktop has been the gold standard for small business accounting for decades. It's powerful, reliable, and many business owners know it inside and out. But Intuit is gradually sunsetting Desktop, and QuickBooks Online (QBO) is where they're investing all their development resources.

Where QuickBooks Online Wins

  • Access anywhere. Log in from any device with an internet connection. No more being tied to one computer.
  • Automatic updates. New features and security patches roll out without you lifting a finger.
  • Better integrations. QBO connects with hundreds of apps — your bank, payment processors, payroll, and more.
  • Collaboration. Your bookkeeper (like us!) can access your books in real time without needing remote desktop software.

Where QuickBooks Desktop Still Shines

  • Advanced reporting. Desktop offers more robust, customizable reports out of the box.
  • Speed. For businesses with large data files, Desktop can feel snappier since it runs locally.
  • One-time cost. You buy it once (though Intuit now pushes subscriptions for Desktop too).

The Migration Trap to Avoid

Here's what we see all the time: a business owner switches from Desktop to Online, and their data comes over messy. Accounts get duplicated, opening balances are wrong, and suddenly the books are a disaster.
